Conference Call Features

Refer to this glossary of our audio conference call features to get the most out of your teleconference experience. Availability depends on which of our conference calling plans you select. Refer to our list of options or to your account information to determine which audio conference call features apply to you.

Allowed Only List

Highly restricted Participant List. A Conference Group operator screens all Participants prior to entry. Your Participant List must be provided 24 hours prior to the call in an Microsoft® Excel or CSV format.

Attendance Reports

A report detailing each conference call, including caller ID, entry and exit times, and a link to listen to a MP3 recording of the conference (if the conference is recorded by the Leader). The Attendance Report is emailed to the conference Leader following each call.

Backdoor Line

Direct connect to the operator via an independent phone line and number. You also have the option for the operator to call you direct via this line.

Billing Codes

When enabled, conference Leaders are prompted to enter a numeric code followed by the # key prior to gaining access to the conference. This code will appear on the invoice, enabling the Leader to track conference usage at the individual client level. Up to 20 numeric characters.

Blast Dial (Leader)

At the time of the call the leader or an operator can initiate a blast dial to call out to Participants.  Dial Lists including the names and phone numbers of all Participants are emailed prior to the conference.

Optional blast initiation either by Leader Star Command - *92 or automatically initiated when the first Leader enters the conference.
Leader(s) can "reblast" via Star Command - *92 throughout the
duration of the call to Participants.

Echo Replay

Digitally record your call for anyone who was unable to attend it live or would like to listen again from the beginning. Echo makes a replay of your event available by dialing a toll or toll-free number for easy, 24/7 access. Callers have the option to fast-forward or rewind at any time during the replay. Entry/Exit Tones

Choices are: Tone, Message, Tone & Message. Tones are audible throughout the conference by all Participants.

Event Registration

This feature provides you with an Event Page for your conference that can be shared to inform invitees about your conference as well as allow them to register. The registration adds security to your conference by providing registrants with a PIN in addition to Dial-in Number and Passcode to access your conference. This feature also provides you with Event Manager which allows you to customize the Event Page and registration as well as view/manage registrations.

Leader Hang-up

Conference will be disconnected after the last Leader disconnects to ensure that the conference does not incur additional charges for line(s) not disconnected from the conference.

Lecture Mode

This conference is most suitable for presentations and large groups. Participants in the conference are placed into a "listen only" mode and only the Leader can be heard.

Star Command - *5

Lock Conference

When initiated by the Leader, this feature prohibits further entry of any new Participants into the conference. The Leader may lock and unlock the call at any time during conference.

MP3 Download

A link to download a MP3 file of your recorded conference. MP3 files are compatible with most browsers and media players.

Music

A serene ambiance will be provided in the conference waiting room. This prevents Participants from conferencing until the Leader has initiated the conference. It also informs Participants that they have arrived in the conference.

Mute

Participants and Leaders can mute their individual line at any time during the conference. Mute can be toggled on and off.

Mute All

This conference mode is most suitable for presentations and large groups. Participants in the conference are placed into a "listen only" mode where only the leader can be heard. However, participants may unmute and mute their line as necessary for questions or comments throughout the conference call.

Name Record/Playback

When enabled, Name Record/Playback prompts each Participant to record their name before they enter the conference. Every time a Participant enters the conference, the recorded name is played to the entire conference. By pressing Star Command - *8 during the conference, the Leader or Participant can hear the names played back.

Operator Dial-Out

Leaders may schedule an Operator Assisted or Operator Assisted Plus conference to have an operator dial out to specified Participants by providing their name and telephone number. The operator will dial out at the specified time to the person(s) requested and attempt to connect them into the conference call. Note: In addition to Operator Assisted and Operator Assisted Plus conference charges, additional fees will apply for international phone numbers.

Participant List

At the conclusion of the conference a Participant List is distributed via email to the email address of your choice.

Participant Screening

Operators collect Participant information prior to Participants being admitted into the conference. Operators can collect information such as name, company, phone #, email address and title. The conference is secured by a verbal passcode, provided by the Conference Group operator.

Polling

A Polling session allows the Leader to gather responses in an organized manner. The Conference Group operator, or the Leader, can ask a question and provide a list of possible answers/responses with corresponding numbers. Participants respond/vote by pressing the corresponding numbers(s) on their telephones. This feature requires a dedicated full-time operator.

Pre-Conference Host Room

Leaders dial into the conference and are placed into the Pre-Conference Host Room. In the Host Room Leaders can speak privately amongst themselves, as well as the operator, to review any procedures or instructions prior to the conference.

Question & Answer

Leader(s) can answer Participant questions more efficiently by using the Question & Answer (Q&A) feature. Q&A promotes electronic "hand-raising." During Q&A, all lines, except the Leader(s), are muted.

Recording/Playback

Leader(s) can initiate and pause a recording anytime during the conference. Participants can playback the conference at the end of the call. All recordings can be retrieved up to 30 days from the date of the conference via Dashboard or a MP3 download.

Roll Call

Operator will read through the Participant List provided by the conference Leader to take attendance during the call.

Sub Conferencing

This feature allows you to host up to nine additional sub conferences within the main conference. These sub conferences can be used as "breakout rooms" from the main meeting.

Transcription

Typed transcription of the conference can be provided per request. Transcription services are usually provided within 48 hours after the conference in a Microsoft® Word document via email. Additional charges apply.

Welcome Message

This feature allows the leader to record or supply a personalized greeting that all participants hear before entering the conference. Please contact customer service to enable this feature on your conferences. Additional charges apply.
